Welcome to Impact Trips. By booking a tour, workshop, or volunteer activity (collectively referred to as “Experiences”) through our website, you agree to the following terms.

lease read them carefully to understand your rights, our cancellation policies, and the community-focused nature of what we do.

1. Booking & Participation

1.1. Nature of Our Experiences

Our Experiences are designed to combine meaningful travel with a positive social or environmental impact. Unlike standard commercial tours, these activities often involve visiting private homes, non-profit organizations, and sensitive cultural sites. By booking, you agree to participate with an open mind and a willingness to learn.

1.2. Minimum Participants & Booking Cutoff (The “D-3” Rule)

To ensure our local partners and guides can prepare adequately, we operate on a specific timeline:

    • Minimum Requirement: Most Experiences require a minimum of 2 participants to proceed.

    • Booking Cutoff (D-3): We review the guest count 3 days prior to the scheduled trip date.

    • Cancellation by Us: If the minimum number of participants is not met by this 3-day cutoff, Impact Trips reserves the right to cancel the Experience.

2. Cancellations & Refunds

2.1. If We Cancel (Low Attendance)

If we must cancel an Experience because the minimum participant requirement was not met by the D-3 cutoff, you will be notified immediately via email or WhatsApp. You will be offered two options:

        1. Trip Credit: You may convert your payment into a credit to book a future Experience with us (perfect if your dates are flexible).

        2. Full Refund: The total amount paid will be returned to your original payment method.

2.2. If We Cancel (Force Majeure)

In the event of unforeseen circumstances beyond our control (e.g., extreme weather, religious ceremonies unexpectedly blocking road access, or safety hazards), we will attempt to reschedule. If rescheduling is not possible, a Trip Credit may be issued.

3. Health, Safety, & Requirements

3.1. Guest Responsibilities

    • Fitness Level: You are responsible for ensuring you meet the physical requirements listed on the specific Experience page (e.g., ability to hike, swim, or walk on uneven terrain).

    • Safety Gear: You must adhere to all safety instructions given by the host or guide. For water activities (e.g., coral restoration), you must act responsibly to protect yourself and the marine environment.

    • Essentials: You are responsible for bringing necessary personal items listed in the “What to Bring” section (e.g., water bottles, reef-safe sunscreen, walking shoes).

4. Cultural Code of Conduct

Because our Experiences immerse you in real local communities:

    • Dress Code: You agree to adhere to clothing guidelines provided by the guide, particularly when entering temples or local family homes (e.g., wearing a sarong or covering shoulders).

    • Interaction: We ask that you interact with local partners, artisans, and community members with dignity.

    • Environment: We strictly practice “Leave No Trace.” Please minimize plastic usage and respect the natural surroundings.

5. Media & Photography Release

We often document our Experiences to share our mission and help our local partners reach a wider audience.

    • Consent: By participating, you acknowledge that photos or videos may be taken of you during the Experience by our assigned photographers or guides.

    • Usage: You grant Impact Trips a non-exclusive, royalty-free license to use these images for marketing purposes, including on our website, social media, and third-party listings (like Airbnb).

    • Opt-Out: If you prefer not to be photographed, please inform your guide at the start of the trip, and we will respect your privacy.

6. Liability Waiver

Impact Trips acts as a facilitator connecting travelers with local impact partners.

    • Assumption of Risk: Participation in activities (such as trekking, snorkeling, or craft-making) carries inherent risks. By booking, you assume full responsibility for your personal safety and property.

    • Release: You release Impact Trips, its employees, and local partners from liability for any injury, loss, or damage arising from your participation, except where such liability cannot be excluded by law.

7. Gift Voucher

  • Valid only for scheduled Impact Trips’ experiences.
  • This voucher is not exchangeable for cash.
  • This voucher will not be accepted if altered in any way.
  • This voucher cannot be combined with other offers or discounts.
  • Each guest can redeem one (1) voucher per booking and per experience only.
  • Lost or damaged vouchers will not be replaced.
  • Impact Trips reserves the right to update these terms without prior notice.
